Revision of D5000 Foundation

Alan Okinaka and Junichi Noumaru attended the Q&A session on June 13. There are much uncertainty for how money will be handled between the donors, the club and the foundation. Once the bylaws amendment is approved and the new foundation officers are elected on June 27, the details will be consulted with the experts with the leadership under the new officers. Then the operation details will be given to the member clubs via the education sessions.
Money sent to the foundation becomes the foundation's money and the club can receive the amount of money it sent (minus a fee) for the purpose that the foundation defines. Since the foundation is 501(c)(3) entity, it can spend money for the purposes regulated by the applicable laws. The club can use money received by the foundation for the community service, project or donation to charities but cannot use money for the operation of the club.
Currently, D5000 foundation does not have a mechanism to accept the regular online payment. All payment to the foundation should be by check or by transferring from the club account to the foundation account.  The club account must be the dedicated one for the transactions with the foundation.
 
This is one example of the application of the D5000 foundation for Oktoberfest. The tax-deductible amount can be printed on the ticket so that those who purchase the ticket will know how much tax-deductible donation they do. For example, $20 is the tax-deductible donation to the D5000 foundation, out of the $50 ticket price. The club collects money and put into the club account. The club sends a check of sum of the tax-deductible donation to the foundation. If 100 tickets were sold, the club writes a check of $2,000 and send it to the D5000 foundation with the list of the names and addresses of the donors. The D5000 foundation writes a thank-you letter to each donor indicating that the donation was $20. Upon the club's request, the foundation will send $2,000 (minus a fee) to the club's account for the foundation. The club can use $2,000 for the purposes set by the D5000 foundation. 
 
Voting to accept the revised by laws will take place at the Foundation's annual meeting on June 27 at 11:00 AM via zoom meeting. This meeting will immediately follow the District meeting on the same date.  
 
Our club is a member of the D5000 foundation and the member's vote for the amendment of the bylaws will take place on June 27. Our club needs to decide whether to approve or not the amendment of the bylaws.

    District Conference 2021

    • Will be held for the first time in Hilo commemorating 100 years of Rotary on Big Island at Grand Naniloa Hotel on May 14, 15 and 16, 2021.
    • Expect 250 to 300 people
    • Hilo clubs will be asked to be committed to the planning: Theme, Silent auction, Celebration of life, House of Aloha (Friendship), Sergeant of arms, Decoration, Conference bags, Entertainment, Program booklet, Tour, Service projects, Pre-conference and Post-conference activities, Media...
    • Lorraine said that many events with the theme "open the doors" await us.

    A message from Duke Escobar, the president of the Rotaract Club of East Hawaii

    "I am writing to inform you that the Rotaract Club of East Hawaii will be closing at the beginning of the next school semester, but we plan to remain dormant until there are interested parties who would like to take over.

    That being said, Rotaract currently has additional funds, but as the former president, I would like to take these funds, place them in an investment account for growth for the eventual restart of the club.  If you have any other suggestions, I would be more than happy to hear them."
     
    Helen (Heng) Tien, the Rotaract faculty coordinator wrote:
    "We're saddened by the temporary closing of the UH Hilo chapter of Rotaract as Covid-19 and other circumstances have brought much difficulty to student recruitment and event management. We hope to keep the club temporarily closed and reinvest the account started by Duke once there are interested students. "
     
    Discussion
    • The Rotaract may choose an investment option which is non-taxed.
    • The Rotaract or our club can contact D5000 for advice so that the actions for the hybernation will be compliant with the RI bylaws and constitution.
    • Since the students go out and in, managing the account under the student's name will be challenging. One possibility is that our club makes a restrict fund for retain the fund for the Rotaract.
    • Be careful not to choose an investment that has a risk of the loss of asset.
    • The Rotaract should elect the directors/officers right now for the dormant period and keep the Rotaract club registered to RI. Once the club is desolved, it will be hard to reinstate the club.

    • Our guest speaker is Dani Riggs and he will be talking about the effects of isolation and shelter in place has on people and some self care practices.
    • Dani is the former Clinical Supervisor for Child and Family Services as well as having his own private practice.
